Starfleet Stash App

The Starfleet Stash App is a comprehensive tool crafted to optimize expense management within organizations. It empowers HR administrators to efficiently track and oversee expenses. For application administrators, the app provides comprehensive insights into weekly, monthly, quarterly, and yearly expense patterns. Notably, the inclusion of Top Monthly Category Spends further elevates its utility as an efficient expense management tool. Overall, the Starfleet Stash App significantly enhances productivity by ensuring seamless expense recording and maintenance.

Pre-Requisites

Before diving into the development process, make sure you have all the necessary prerequisites ready.

Prerequisites and Permissions:

It is necessary at least to be a System Customizer (can only install the solutions in the same environment, where they're in that role.) to deploy the solution.
It is assumed that the user has a basic knowledge of Power Automate Flows and Power Apps.

Licensing:

A Microsoft Office 365 E3 license which includes Power Platform and all other Office 365 apps.
You will need a Power Apps 30-day trial to run the deployment flow. You can follow this link to get a Power Apps 30-day trial. This trial will let you use the premium connectors in the deployment flow. You will need this to run the deployment flow for the first-time setup.
If you require more information about M365 licenses or need these licenses, please feel free to contact us.

Installation Instructions

To Deploy this solution to your environment, please follow the below instructions. If you have any questions, feel free to contact us at support@penthara.com.

App Setup

After the installation has completed, navigate to powerapps.com and go to Solutions.
Click on Managed solution and then click on “Starfleet Stash”.

Once you select the solution you will see the following page:

Select Cloud Flows from the left navigation panel.

Select “Starfleet Stash Deployment Flow” from the list of the flows, it opens the Flow Details Page.

Turn on the flow from the top command bar. Make sure that you have signed up for the Power Apps trial license before turning ON the flow.

Now run the flow, by clicking on the run button.

You will see a new panel on the right side of the screen.

Enter your SharePoint Base URL e.g. “https://your_tenant_name.sharepoint.com” and select the user from the HR Email input which will then be used in the app and flows to send emails. Then click on Run Flow.

Now click on Done.

After a minute you will see that the flow run has succeeded.

This process includes creating a SharePoint Site, setting up lists and columns, adding default values, and including the current user to the admin group. The process will also add the selected user’s email to the HR Operation Email to upload, track and oversee expenses.
This will also populate the environment variables we left blank when setting up the solution. For more information related to these, please refer to the Starfleet Stash App Information Architecture and Requirements Document.

Select Apps from the left navigation panel.

Select the More options and then select Play to play the app.

You will see a popup asking you to allow the permissions needed for the app to run. Click on Allow button.

The app will start. To add more Admin and HR users, kindly refer to the admin guide.
