A. Microsoft Copilot

If you’re using Microsoft 365, you’ve likely seen Copilot in action—your AI-powered assistant helping you write emails, analyze Excel data, or summarize long Word docs. It's designed to boost productivity across Outlook, Teams, and more. With AI deeply integrated, Copilot helps turn your everyday tasks into streamlined workflows. Let’s see what’s new and smarter this month.

1. Microsoft PowerPoint for Windows: Create a presentation with Microsoft Copilot from the PowerPoint Backstage view

Microsoft will add a “Create with Copilot” feature in PowerPoint for Windows desktop. This will be available in the PowerPoint Backstage view, which appears when users start PowerPoint or select the File tab.

This feature requires a Microsoft 365 license or a Microsoft Copilot 365 license.

Rollout timeline:

  • Targeted Release: Microsoft will begin rolling out in early June 2025 (previously mid-May) and expects to complete by mid-July 2025 (previously late May).
  • General Availability (Worldwide): Microsoft will begin rolling out in mid-June 2025 (previously late May) and expects to complete by late June 2025.

Impact on your organization:
After rollout, users will see a Create with Copilot option at the top of the PowerPoint Backstage view.

2. Microsoft 365 Copilot: Access agents from the Microsoft Edge sidebar

Microsoft will allow users to access agents in Microsoft 365 Copilot from the Edge sidebar (right side of the screen) while using Copilot.

This applies to Web chat and Work chat for users with a Microsoft 365 Copilot license, and to Copilot Chat for users with a Microsoft 365 license.

Rollout timeline:

  • General Availability (Worldwide): Microsoft will begin rolling out in late May 2025 and expects to complete by early June 2025.

Impact on your organization:
Users must first add agents to Microsoft 365 Copilot before they can access them from the Edge sidebar. At this time, they will not be able to create, search for, or add new agents directly from the sidebar.

Once added, users will be able to access their agents from the Edge sidebar while using Copilot, helping them stay focused on their browser activities without switching screens.

This feature will be enabled by default.

3. Microsoft 365 Copilot Tuning

With Copilot Tuning, you can use your company data, workflows, and processes to train models and create agents that perform domain-specific tasks with a high degree of accuracy using Copilot Studio—no coding required. For example, a legal firm can create an agent to reflect its unique style and expertise—automating document creation and even drafting arguments that blend institutional knowledge with client-specific context to help build the strongest case possible. 

4. Teams Meeting Audio Overview

Introducing the Meeting Audio Overview, a feature that uses AI to capture and summarize key topics discussed during your Teams meetings with an engaging audio output. It converts the selected meeting transcriptions into audio summaries, allowing users to quickly review highlights for multiple meetings, helping them focusing on the most relevant topics to stay up to date.

5. New audio overviews for Word and PDF files in Microsoft OneDrive

Microsoft 365 Copilot will soon offer AI-generated audio overviews for Word documents, PDF files, and Teams meeting recordings with transcripts in OneDrive.

6. View your organization’s prompts in the redesigned Copilot Prompt Gallery app soon

Your users will see a redesigned Copilot Prompt Gallery app that introduces a home page and updated prompt browsing experience. In addition, we’re expanding the value of Copilot Prompt Gallery by enabling you to create, publish, and manage organizational prompts tailored to the unique needs of your organization.

7. Microsoft Word: Fix spelling and grammar all at once with Copilot

This feature provides a one-click solution to apply all grammar and spelling corrections simultaneously, with the option to review and undo any changes you prefer not to keep. 

8. Microsoft Outlook: Summarize email attachments with Copilot

Soon, users will be able to summarize PDF, Microsoft Word (.docx), and Microsoft PowerPoint (.pptx) email attachments with Copilot in Outlook.

9. Copilot Notebooks inside OneNote

Microsoft now allows users to access Copilot Notebooks in OneNote. Users can bring together content such as notes, documents, websites, meeting recordings, and more.

The Notebook helps Copilot provide relevant actions and insights by grounding it in the included content. It continuously updates in real time as the content changes.

Copilot Notebooks can also generate an audio overview of the content, with two hosts walking through key points.

Rollout is happening in June.

10. Search summarization with Copilot in Edge

Users with limited time and lots of tasks often use the shortcut key CTRL+F to quickly find and synthesize information in large bodies of text. Now when users use CTRL+F to find information on a page, they will see a prompt to have Copilot summarize how their search term is mentioned on the page. The summary will appear in the side pane alongside their original page content. 

11. Citations, voice and summaries with Copilot in Word

When users are drafting content that's based on referenced sources, Copilot will include citations in the text it generates. This simplifies the experience for users to build documents by indicating references to information in the content. This feature is rolling out in June.

12. Expanded functionality of Copilot Chat

Users can now easily automate their most frequent queries with just a few clicks. New options include setting up recurring prompts, tailoring prompts to a user’s workflow, and managing their prompts directly in Copilot Chat.

Now users can easily pick up where they left off with Copilot. A redesigned chat history experience provides a list that lets users quickly revisit past conversations. Users can search by keyword or browse through old chats grouped by date, making it easier to find exactly what they need.

B. Microsoft Teams

Microsoft Teams continues to be the hub for hybrid work, bringing together chat, video calls, file sharing, and collaboration—all in one place. Whether you're managing remote teams or planning meetings, Teams makes it seamless. This month’s updates bring more customization, improved meeting experiences, and better integrations. Let’s explore what’s improved in your favorite collaboration tool.

1. Microsoft Teams: Send messages to attendees in the meeting lobby with Lobby chat

Microsoft will soon allow meeting organizers to send one-way messages to attendees in the meeting lobby using Lobby chat. This is designed to improve the lobby experience and help organizers communicate key information to external attendees before the meeting starts.

This feature will be on by default, and admins can choose to disable it in the Teams admin center.

It applies to Teams on Windows desktop, Mac desktop, and iOS/Android.

Rollout timeline:

  • Targeted Release: Mid-June 2025 to late June 2025
  • General Availability (Worldwide, GCC, GCC High, DoD): Late June 2025 to mid-July 2025

How this will affect your organization:

Admin controls: After this rollout, the policy for Lobby chat will be on by default in the TAC. Admins can enable or disable Lobby chat with a meeting policy in the TAC. Under Meeting policies > Global (Org-wide default) > Meeting engagement, admins will find a new toggle option for Organizers can chat with lobby participant. When the option is enabled, participants who can't bypass the lobby due to meeting policy will be able to view messages sent by the organizer in a Lobby chat. To enable this policy, Meeting chat in the TAC must be set to On for everyone or On for everyone but anonymous users.

Meeting organizer experience: When someone joins the lobby, the meeting organizer will see a new Lobby tab in their Chat experience (meeting chat, one-on-one chat, or group chats). The meeting organizer will be able to send one-way messages to attendees in the lobby in the Lobby tab:

Lobby attendee experience: When the meeting organizer sends a message to the lobby, a new Lobby chat panel will open in the right panel of the pre-join screen and display the message. Lobby attendees cannot reply to these messages: 

2. Microsoft Teams: Pop out your core apps into a new window.

Microsoft will soon allow users to open core applications—such as Chat, Teams, and other essential apps—in separate windows using the Open in new window option from the app's context menu.

This update is designed to support improved productivity and more flexible workflows by making it easier to manage collaboration apps independently.

Rollout timeline:

  • Targeted Release: Early July 2025 to mid-July 2025
  • General Availability (Worldwide): Mid-July 2025 to early August 2025

Impact on your organization:
Users will be able to open core collaboration apps in separate windows.

3. Microsoft Teams: Users can add multiple emoji reactions to each chat or channel message

Microsoft will soon allow users to add multiple emoji reactions—including custom emojis—to a single chat or channel message. Previously, users could only add one emoji per message.

This applies to Teams on Windows desktop, Mac desktop, the web, and iOS/Android.

Rollout timeline:

  • Targeted Release: Early June 2025 to mid-June 2025
  • General Availability (Worldwide): Mid-June 2025 to late June 2025
  • General Availability (GCC, GCC High): Early July 2025 to mid-July 2025

How this will affect your organization:

After this rollout, a user who adds an emoji to a message will find a new More reactions button where the user can select and add additional emojis:

Reactions are displayed in order of popularity, while ensuring that each user’s own reactions are always visible. To maintain clarity and prevent clutter, emojis are limited to 20 reactions per user per message:

When there are too many reactions to show, users can hover over the number (+6 in this image) to see all reactions:

4. Microsoft Teams: Unified attachment flow on Teams Mobile

Microsoft will introduce a new content picker in the Teams mobile app for Android. Users will be able to attach any type of content—such as files or media—using the paperclip icon in the compose overflow menu. The new unified attach flow is designed to make it easier and more intuitive to attach content from any source.

Rollout timeline:

  • General Availability (Worldwide): Early June 2025 to late June 2025
  • General Availability (GCC, GCC High, DoD): Late June 2025 to early July 2025

Impact on your organization:
Users will experience an improved content attachment flow in the Teams Android app.

5. Microsoft Teams: Introducing the Network Strength Indicator

Microsoft will add a Network Strength Indicator in Teams meetings to help improve clarity and reduce confusion caused by connectivity issues.

Rollout timeline:

  • Targeted Release: Early July 2025 to late July 2025
  • General Availability (Worldwide, GCC): Early August 2025 to early September 2025

Impact on your organization:
The indicator will show current network quality using a 3-bar system:

  • Good (3 bars)
  • Poor (2 bars)
  • Bad (1 bar)

When the connection is limited, users will receive suggestions to conserve bandwidth and maintain meeting performance. Participants will also be able to see when others have poor or bad network conditions.

6. Microsoft Teams: When selecting "Unread Chats," users will land on the last read message

Microsoft will soon update the Unread Chats experience in Teams. By default, users will land on the last message they read, making it easier to continue reading without manually scrolling. A jump button will also be available to quickly move to the newest message.

Users will have a new setting to choose whether they want to land on the last read message or continue landing on the newest message, as before.

This applies to Teams on Windows desktop, Mac desktop, and the web.

Rollout timeline:

  • Targeted Release: Early June 2025 to mid-June 2025
  • General Availability (Worldwide, GCC): Mid-June 2025 to late June 2025

How this will affect your organization:

After this rollout, users will land by default on their last read message when they open Unread Chats. Users will get a button to jump to newest message:

If the user chooses the non-default setting, users will land on the newest message after selecting Unread Chats. Users will see a button to jump to the last read message:

7. Microsoft Teams: Set New Ringtones in Teams Mobile

Microsoft Teams Mobile (iOS and Android) will soon allow users to customize and select different ringtones for various types of calls. This includes support for forwarded and delegated calls for users with Microsoft Teams Phone.

Users can access this setting under Teams Settings > Calling > Choose a ringtone. Ringtones are set per device, meaning the selected tone applies only to that specific device.

The update also introduces a new tone, “Beep”, which plays a beep sound every 5 seconds during the call ringing.

Impact on your organization:
Users will be able to personalize call alerts by setting custom ringtones within their call settings.

C. Microsoft Outlook

Outlook is more than just email—it’s your smart hub for scheduling, task management, and staying organized. Whether on mobile or desktop, Outlook helps streamline your day with intelligent sorting, reminders, and a powerful calendar. The latest updates bring better navigation and AI-powered features that help you focus on what matters. Here’s what’s fresh this month.

1. Microsoft Outlook for Android: Users can apply categories to emails

Microsoft Outlook for Android will soon allow users to assign and remove categories on emails. Users will also be able to view assigned categories directly in the message list and reading pane.

With this update, users can manage categories in multiple ways:

  • From conversation actions in the reading pane
  • Using multiselect via long press in the message list
  • As a new swipe action
  • By filtering the message list by category

Rollout timeline:

  • General Availability (Worldwide, GCC, GCC High, DoD): Mid-June 2025 to mid-July 2025

2. Microsoft Outlook for iOS/Android: New formatting options for composing emails

Microsoft will soon roll out new formatting capabilities in the Outlook apps for iOS and Android. Users will be able to:

  • Adjust font size
  • Set a default font
  • Use format painter and format eraser to apply or clear formatting

Admins will also have new options to configure default formatting settings for their organization.

Rollout timeline:

  • General Availability (Worldwide, GCC, GCC High): Early June 2025 to early July 2025

How this will affect your organization:

Users will have an option to update font size (left and center) and will be able to access to format painter and format eraser (right) from the formatting toolbar while composing:

3. Microsoft Outlook for iOS and Android: Custom account icons

Microsoft will soon allow users of Outlook on iOS and Android to customize the icon shown for each email account. This enhancement is designed to make it easier to navigate between multiple accounts.

After the rollout, users can go to Outlook Settings > Accounts > Account name > Show As and choose from the following options:

  • Profile photo (when available)
  • Initials
  • Tenant logo (when available)
  • Microsoft 365 logo
  • Custom: Select an icon or initials and choose a background color

Rollout timeline:

  • General Availability (Worldwide): Early June 2025 to mid-July 2025

4. New Microsoft Outlook for Windows and Outlook for the web: Jump to a message in the message list

Microsoft is introducing a new navigation feature in the new Outlook for Windows desktop and Outlook for the web. Users will be able to jump directly to specific messages in the message list by typing relevant text.

For example:

  • When sorted by From, typing a name like "Philip" jumps to messages from that sender
  • When sorted by Date, typing a date navigates to that point in the list
  • Similarly, users can jump by Category or other sorting criteria

This feature will be enabled by default.

Rollout timeline:

  • General Availability (Worldwide, GCC, GCC High, DoD): Late May 2025 to late June 2025

As an example, when a user has their message list sorted by sender with From, the user can select the arrow icon to reveal the new Type to jump to a sender option to jump to a specific sender:

5. Microsoft Outlook for iOS: Updated conversation actions

Microsoft Outlook for iOS will soon move conversation actions from the top-right corner of the screen to the bottom when viewing an email message. This update aims to improve accessibility and ease of use.

Users will also be able to customize the order and placement of these actions to better fit their workflow.

Rollout timeline:

  • General Availability (Worldwide, GCC, GCC High, DoD): Early June 2025 to early January 2026

How this will affect your organization:

After this rollout, actions formerly found in the top right of the reading pane (such as Mark unread, Pin, Delete, and Archive) will move to a toolbar at the bottom of the reading pane:

6. Microsoft Outlook for iOS/Android apps: Copy attachments that are not links

Microsoft is introducing the ability to copy and paste attachments directly into an email—without the need to first save them to a device or cloud storage.

This update simplifies the attachment process and enhances productivity by allowing users to insert attachments with a simple copy-paste action.

Rollout timeline:

  • General Availability (Worldwide): Mid-June 2025 to early July 2025

7. Microsoft Outlook for Android: Updated conversation actions

Microsoft Outlook for Android will soon relocate conversation actions from the top-right to the bottom of the screen when viewing an email. This change is designed to improve accessibility and usability.

Users will also be able to customize the order and placement of these actions to match their preferences.

Rollout timeline:

  • General Availability (Worldwide, GCC, GCC High, DoD): Early July 2025 to early August 2025

How this will affect your organization:

After this rollout, actions formerly found in the top right of the reading pane (such as Mark Unread, Pin, Delete, and Archive) will move to a toolbar at the bottom of the reading pane:

Users can customize the order of these actions and choose which stay visible in the toolbar and which remain in the overflow menu, with the toolbar displaying as many as space allows.

D. Microsoft 365 Apps

From Word and Excel to PowerPoint and OneNote, Microsoft 365 Apps are essential tools for daily productivity. Whether you're creating content, crunching data, or presenting ideas, these apps keep everything flowing. This month, Microsoft has rolled out improvements that make working across desktop, web, and mobile even smoother. Ready to see what’s new in your everyday toolkit?

1. Microsoft OneDrive: Export files as PDF

Microsoft OneDrive is introducing a new Export as PDF feature that allows users to convert Word, Excel, and PowerPoint files into PDF format without leaving their workflow.

Users will be able to access the Export as PDF command from the three-dot menu or the command bar in OneDrive for both personal files and shared libraries.

  • The resulting PDF will be saved in the same folder as the original file.
  • For shared files, the PDF will be saved in the root of the user’s OneDrive.

Supported file types: Word, Excel, PowerPoint
Rollout timeline:

  • General Availability (Worldwide): Mid-June 2025 to mid-July 2025

Export as PDF is only allowed for files with the appropriate sensitivity label and Information Rights Management (IRM) protection settings. To use this feature, users must have permission to download the file. If you attempt to use this feature for a file that you do not have permission to download, the operation will not succeed, and users will receive an error notification:

2. OneDrive: Prompt for permitted users to sign in to OneDrive app with personal Microsoft account

Users have long been able to use personal Microsoft accounts with the OneDrive app on corporate Windows devices—unless restricted by admin policy. This new feature introduces a prompt only when a personal account is already signed in on the device, encouraging users to also sign in to the OneDrive app with that account.

3. Microsoft SharePoint and Microsoft OneDrive: Apply watermark to PDFs

Microsoft OneDrive and Microsoft SharePoint for web will soon let users add text or images as watermarks to PDF documents. Users can place the watermark in front of their content and choose the desired location and angle for the watermark.

This message is associated with Microsoft 365 Roadmap ID 485796.

When this will happen:

General Availability (Worldwide, GCC, GCC High, DoD): Microsoft will begin rolling out mid-June 2025 and expect to complete by early July 2025.

How this will affect your organization:

To add text as a watermark:

  1. Open a PDF stored in OneDrive or SharePoint and then select Edit at the top right of the screen.
  2. Select Watermark from the top menu, enter your text, customize the formatting and color, and place the watermark in the desired position. Choose from nine positions: top left, top center, top right, middle left, middle center, middle right, bottom left, bottom center, and bottom right. Text formatting options include bold, italic, color, size, transparency, and rotation.
  3. Preview changes on the right side of the screen, and then select Apply to save changes.

To add an image as a watermark:

  1. From the Watermark dialog box, select Picture to insert an image as a watermark. Adjust scale, transparency, and rotation if desired. Set the image in the desired position. Choose from nine positions: top left, top center, top right, middle left, middle center, middle right, bottom left, bottom center, and bottom right.
  2. Preview changes on the right side of the screen, and then select Apply to save.

To edit an existing watermark:

  1. Select Watermark from the top menu, and then select the watermark to edit.
  2. Follow the same steps for adding text or images to modify text or images in the watermark.

To add another watermark, select Add new under the Watermark toolbar.

To remove a watermark:

  1. Select Watermark from the top menu, and then select the watermark to remove.
  2. Select the Remove button at the bottom of the screen.

FAQs

Can I modify watermarks using other PDF tools?

  • Watermarks added in OneDrive or SharePoint will be visible in other PDF tools but cannot be edited or removed with third-party tools.

Does applying a watermark change my original PDF?

  • Yes, applying a watermark will change your PDF document. The watermark is superimposed on the PDF content. Users can easily remove any watermark applied in OneDrive or SharePoint.

4. Microsoft OneDrive and Microsoft SharePoint: Use the table of contents in a PDF to navigate

Microsoft OneDrive for the web and Microsoft SharePoint Online will be able to display a table of contents if a PDF already has one. Users can select an item in the table of contents to jump directly to the location of that item in the PDF.

When this will happen:

General Availability (Worldwide, GCC, GCC High, DoD): Microsoft will begin rolling out mid-June 2025 and expect to complete by early July 2025.

How this will affect your organization:

  1. Open a PDF in OneDrive for the web or in SharePoint. If your PDF contains a table of contents, it will show up on the left side of your screen:
  1. Select any line item to jump directly to the page
  2. To close the table of contents, select the X in the top right of the panel. Select the View the table of contentsicon in the top left of the panel to open it again:

5. Microsoft Edge: New location for Edge profile in the toolbar

Coming soon to Microsoft Edge: With multiple tabs open, the tab strip is valuable space for you to quickly find the right tabs. To increase visibility of tab titles, Microsoft will move the user Profile label to the toolbar.

When this will happen:

General Availability (Worldwide): Microsoft will begin rolling out early May 2025 and expect to complete by mid-May 2025.

The changes are included in Microsoft Edge version 136.

How this will affect your organization:

Before this rollout, the Profile label was located in the title bar on the left side of the screen:

After this rollout, the Profile label will change to a minimized icon without a text label that appears in the toolbar on the right side of the screen. These changes will be on by default.

6. Modern SharePoint: New Template gallery and 50+ out-of-the-box page templates

Modern SharePoint will introduce a new Template gallery and over 50 out-of-the-box page templates in mid-2025. This feature aims to streamline content creation and enhance visual consistency. The rollout requires no admin action, but users should be informed to maximize its benefits.

7. Microsoft Edge for Business: New PDF viewer powered by Adobe engine now available for testing in Edge Beta

Microsoft Edge for Business introduces a new Adobe-powered PDF viewer available for testing in Edge Beta (version 136). Organizations should validate their workflows before the default rollout in October 2025. Key enhancements include performance, accessibility, and compatibility improvements. The legacy viewer will retire in early 2026.
